AI Use Policy
1. Purpose
We use AI tools to support the running of Charmingo Sews Academy, not to replace human judgement, teaching, or care.
This policy explains how we use AI responsibly, what we will not use it for, and how we protect client trust, privacy and quality in my work.
Our aim is to save time on admin and planning, improve communication, and focus more energy on teaching, creativity and wellbeing.
2. What I will use AI for
We use AI only as a support tool, not as a decision-maker. Typical uses include:
Idea generation for classes, workshops and content
Drafting rough versions of emails, posts or lesson outlines
Summarising notes, feedback or research
Planning and organising admin tasks
Improving clarity of written materials
Exploring business, marketing or operational concepts
AI helps us work more efficiently, but final work is always shaped by us.
3. What we will NOT use AI for
We will never put into AI tools:
Full client names, addresses, payment details or contact data
Sensitive personal or wellbeing information
Private financial records beyond basic cost planning
Login credentials, contracts, or legal documents
Aggressive language, harmful content, or illegal material
We will never fully automate:
Approval of contracts or agreements
Financial or legal decisions
Teaching, mentoring, feedback or wellbeing support
My personal values, opinions or professional judgement
AI may assist, but responsibility always stays with us
4. Data and privacy
Client privacy matters to us. When using AI tools, we follow these principles:
We anonymise details wherever possible (no full names or identifying data).
We avoid uploading documents that contain sensitive personal information.
We only use small, relevant extracts when support is needed.
We delete files and temporary chats where the tool allows.
We never treat AI platforms as secure storage.
AI is used for support, not as a database for client information.
5. Human review
AI can make mistakes, invent details, or misunderstand context. Because of this:
We always review facts, names, numbers, pricing and schedules.
We double-check anything legal, financial or instructional.
We edit tone, clarity and suitability for our learners.
We remain fully responsible for all work, advice and materials we deliver.
Nothing goes to a client without human review and care.
6. Transparency with clients
When appropriate, we may mention AI use in simple ways, such as:
Letting clients know when AI helped with planning or drafting.
Being honest that tools support admin and content preparation.
Making clear that teaching, feedback and decisions stay human-led.
AI supports the business, but relationships stay personal.
7. Review and updates
AI tools and Charmingo Sews Academy will continue to change. We will review this policy regularly and update it as our courses, services and technology develop, always with client trust, privacy and quality at the centre of our work.
